Haeso is a product of Docomo. Effective date: 1 June 2025. Governing law: Ghana Data Protection Act, 2012.
This policy applies to anyone who accesses or uses Haeso, including registered users, invited users, and guests who use the platform without creating an account.
2.1 Account information
When you register, we collect your full name, email address, company name, username, and role. If you join the waitlist, we also collect this information before your account is activated.
2.2 Shipment and invoice data
When you upload invoices or packing lists for classification, we extract and store item descriptions, quantities, and unit prices. This data is stored against your account and linked to each batch job you create.
2.3 Classification activity
We record every classification action you take on the platform, including search queries you enter, HS codes you select or manually override, confidence scores, codes you flag for review, and codes you compare side by side. This is used to improve classification accuracy and to display your history in the admin dashboard.
2.4 Session and usage events
We log user activity events including searches, batch creation, exports, copies, and manual entries. Each event is recorded with a session identifier, a timestamp, and your user ID if you are signed in. This data is used to monitor platform health, diagnose where the app breaks down, and understand how users navigate the tool.
2.5 Technical and device data
We collect your IP address for rate limiting and abuse prevention. We do not collect device fingerprints, browser versions, or operating system details beyond what is necessary for security.

We do not use your information for advertising. We do not sell your data to third parties.
Unit prices extracted from your uploaded invoices are stored as part of your batch records. This data is used solely to populate your ICUMS export file and to support our internal valuation and duty calculation features. We do not share individual shipment price data with any third party, including Ghana Customs (GRA/ICUMS). You remain responsible for the accuracy and completeness of all data you submit to ICUMS.
Authorised Docomo administrators can access aggregated and individual usage data through an internal admin dashboard. This includes search logs, batch job records, accuracy metrics, and user account details. This access is limited to authorised personnel and is used solely for platform operation, support, and improvement.
Supabase — our database and authentication provider. Your data is stored on Supabase-managed infrastructure. Supabase acts as a data processor on our behalf.
Vercel — our hosting provider. Application requests pass through Vercel's infrastructure.
We do not share your data with any other third parties. We do not use third-party analytics tools such as Google Analytics, Mixpanel, or similar services.
We currently retain all account data, batch records, and event logs indefinitely. We do not have an automated deletion schedule at this time. If you wish to have your data deleted, see section 9 below.
Haeso uses session tokens managed by Supabase for authentication. We do not use advertising cookies or tracking pixels.

We implement reasonable technical and organisational measures to protect your data, including authentication controls, role-based access restrictions, and encrypted data transmission. No system is entirely secure. If you believe your account has been compromised, contact us immediately.

We may update this policy from time to time. We will notify registered users of material changes by email or by a notice on the platform. The effective date at the top of this document will reflect the most recent update.
